Intelligent voicemail
Replace the dumb voicemail box with structured message intake — sorted by priority, searchable, with one-click actions.
The intelligent voicemail setup replaces the standard "leave a message after the beep" with a structured 30–60 second conversation that captures who called, what they need, how urgent it is, and when to call back.
What you get
Instead of a 30-second audio clip in a mailbox, you get a structured inbox entry:
From: +43 660 1234567 (recognised: Maria Steinhauser)
Topic: Appointment reschedule
Urgency: This week
Callback: After 14:00 weekdays
Notes: Wants to move Thursday slot to next Monday morning
Audio: 3:21 (transcribed)Configuration
- Trigger: when the caller lands at the bot (after-hours, when busy, or always).
- Questions Anna will ask (in order):
- Greeting + brief name capture
- "How can I help?" — free-form intake
- Urgency (urgent / today / this week / FYI)
- Best callback window
- Inbox channel: web, email, Slack channel, or MS Teams.
- Auto-reply: SMS confirmation to the caller with expected callback time.
One-click actions in the inbox
Each entry shows: Call back now, Book appointment, Forward to colleague, Archive. Anna remembers the caller for follow-up, so when you call back you don't start from scratch.
